Youth Ministry Scheduling Platform
A scheduling and coordination platform for a parish youth ministry with over 80 teen volunteers. Event management with slot assignments, file sharing, automated SMS reminders, and a public-facing master schedule.
A parish youth ministry program coordinates over 80 teen volunteers across dozens of events throughout the year. Scheduling was managed through spreadsheets and group texts, which made it easy for things to fall through the cracks, especially reminders.
The Challenge
The ministry staff needed a system to create events with multiple volunteer slots, assign teens to those slots, share files and documents, and send automated reminders so nobody shows up to the wrong place at the wrong time. They also wanted a public schedule view for parents and the broader parish community.
What We Built
We built a dedicated scheduling platform with three access levels: administrators, peer ministers (the teen volunteers), and public visitors.
Event creation with multiple time slots and volunteer assignments
Recurring event support for regular ministry schedules
SMS-based login for teen volunteers (no passwords to remember)
Automated day-before SMS reminders via Twilio
One-way file sharing from admins to volunteers with folder organization
Public master schedule view (no personal details) and CSV roster export
The Result
The ministry staff can manage their entire volunteer schedule from one place. Teens get text reminders before every event, admins get alerts when slots are unfilled, and the parish community can view the schedule online. No more spreadsheets, no more "I forgot" texts.
