Church Small Groups Management System

Replaced a WordPress-based system with a custom web application for managing church small groups. Features formation request workflows, member inquiries, support ticketing, file sharing, and role-based dashboards.

A parish ran a small groups ministry with dozens of active groups and leaders. Their existing WordPress setup was clunky, hard to manage, and couldn't handle the workflows they needed for group formation, member sign-ups, and leader communication.

The Challenge

The ministry needed a system to manage the full lifecycle of small groups: formation requests that go through a voting-based approval process, member inquiries with leader notifications, support tickets for operational issues, file sharing between staff and leaders, and dashboards tailored to each user role.

What We Built

We built a complete replacement for their WordPress system with purpose-built features for each part of the ministry workflow.

  • Group management with creation, editing, and status tracking

  • Formation request workflow with team voting and auto-approval via scheduled jobs

  • Member inquiry system with automated leader notifications

  • Support ticket system with priority tracking

  • Role-based dashboards for admins, formation teams, and group leaders

  • File sharing, image search via Unsplash, and email notifications

  • Complete data migration from the existing WordPress system

The Result

The ministry now runs on a system built specifically for how they operate. New group requests move through a clear approval process, leaders manage their groups from dedicated dashboards, and the admin team has full visibility across the entire ministry. The WordPress headaches are gone.
